Creating a unit
Section titled “Creating a unit”- Navigate to a property’s detail page
- Click Add Unit
- Fill in:
- Unit number: must be unique within the property
- Unit type: studio, one-bedroom, shared room, etc.
- Bathrooms: number of bathrooms
- Rent amount: monthly rent (not required for shared rooms)
- Security deposit: optional
- Optionally set:
- Square feet
- Gender preference: male, female, or mixed
- Available date: when the unit becomes available (leave blank for immediately)
- Active: whether the unit appears in listings
Unit types
Section titled “Unit types”Residential types: studio, one-bedroom through four-bedroom, suite, room, shared room
Commercial types: commercial, office, retail, warehouse
Only residential units appear on the public availability grid.
Shared rooms
Section titled “Shared rooms”Shared room units don’t have their own rent amount — each bed has its own pricing. When you create a shared room unit:
- Set the unit type to Shared Room (only available on student housing properties)
- Save the unit
- Add individual beds with their own rent amounts
Beds only exist within shared room units.
Creating a bed
Section titled “Creating a bed”- Navigate to a shared room unit’s detail page
- Click Add Bed
- Fill in:
- Bed number: identifier within the room (e.g. “A”, “B”, “1”)
- Rent amount: monthly rent for this bed
- Security deposit: optional
- Bed size: twin, full, queen, or king
- Gender preference: male, female, or mixed
- Save
Occupancy status
Section titled “Occupancy status”Each bed tracks its own occupancy:

| Vacant | Available for leasing |
| Occupied | Currently leased to a tenant |
| Reserved | Held for an incoming tenant |
| Maintenance | Temporarily unavailable |
External move-out date
Section titled “External move-out date”For occupied beds, you can set an external move-out date. This is the date the current tenant is expected to vacate. When this date is before the configured upcoming term start date, the bed appears as “Opening” on the public availability grid with the actual move-out date displayed.
This is useful when you know a tenant is leaving but the formal move-out hasn’t been processed through the system yet.
Availability logic
Section titled “Availability logic”PropStack determines public-facing availability as follows:
For regular units (non-shared)
Section titled “For regular units (non-shared)”- Available Now: no active tenancy + available date has passed (or not set)
- Opening: has active tenancy + scheduled move-out date or lease end date is before the term start
- Hidden: occupied with no upcoming move-out
For beds in shared rooms
Section titled “For beds in shared rooms”- Available Now: occupancy status is
vacant+ available date has passed (or not set) - Opening: occupancy status is
occupied+ external move-out date is before the term start - Hidden: occupied with no external move-out date
